A nationwide rental company in New Zealand, managing a large fleet of vehicles, needed an efficient way to streamline their rental process. Our solution: a custom Power App that simplifies the entire vehicle loan and return workflow.
Our Solution
The resulting Power App enables efficient capture of all necessary information, including:
- Vehicle details: make, model, registration, photo
- Hirer details: name, contact details, driver licence capture
- Agreement details: terms, signature, check-in/out date
Our Vehicle Loan app enables employees to quickly switch vehicles while tracking who checks cars in and out. The app features a user interface that adapts based on the employee's security role, which can be configured through the Admin screen. A dashboard provides a quick overview of fleet status, rental activity, agreements by staff, and more.
The app is highly adaptable to suit any business that requires tracking loaned items, whether it's lab equipment, bikes, or other assets. We can also integrate automated reminders for overdue rentals and generate agreements as PDF attachments. We can add approvals in Power Automate.
Staff Select Screen
Our client requested the ability to manually select staff. While this feature is currently manual, the app can be configured to automatically recognize the current user if needed.
Vehicle Select Screen
Easily view the fleet by status and choose from available vehicles when checking out.
Agreement Screen
Capture driver details, upload a copy of the driver’s license, review and agree to terms, and collect signatures. The sidebar displays vehicle details, allows you to switch cars, check vehicles in or out, and shows who last checked out the car.
